SUNY Empire is seeking to host our annual Fall Academic Conference in Saratoga Springs, NY. We are looking for a facility that can provide overnight, meeting, and banquet accommodations for the specifications and dates listed below.

The preferred dates for our annual conference are October 11-13, 2023, or October 18-20, 2023.

The event requires a facility that can accommodate 250 attendees at one time, overnight accommodations of 125-150 rooms the first and second nights, and meeting rooms and banquet/catering needs.

Summary of Requirements:

• Facility that can accommodate 250 people at one time
• Ballroom for meals to accommodate 250
• Meeting room for general session, theater style to accommodate 250 (preferably separate from the meal room)
• 6 workshop areas (250 people) 35 each in theater and/or classroom-style
• Complimentary transportation to and from the local train & bus stations
• The facility must have either onsite catering or allow for catering by outside
• Space to accommodate all day registration and additional information tables

Additional Request:

• Lodging at the state per Diem rate
• Group will be permitted to bring in their own A/V without penalty
• Free parking for all participants
• Complimentary internet access in meeting and guest rooms
• Table(s) set-up for Registration during the entire conference
